Terms & Conditions
Here are the terms & conditions for all accepted participants.
Please read this carefully. This document has been sent already to you by e-mail. You can request by e-mail to have it sent again.
1. Introduction
1.1. It is a compulsory element of the registration process to read and accept these terms
and conditions. All Delegates who register agree to be bound by, and to comply with, these
terms and conditions.
1.2. It is the Delegate's responsibility to read and understand these terms and conditions.
2. Conference events and registration
2.1. In order to attend the Conference as a Delegate, individuals and their legal guardians
must complete and sign the application form and send a scanned version to
lehavre2009@modelasem.org before July 31st 2009 5:00pm (GMT+1).
2.2. Although the Organiser will endeavour to accommodate all country and committee
preferences, the Organiser does not guarantee that any Delegate will receive those
countries or committees nominated as the Delegate's preference.
2.3. Delegates have to register at Sciences Po. Paris, 27 rue Saint-Guillaume
75337 Paris, Cedex 07 on Tuesday 10th of November 2009 between 11am and 12pm.
2.4. Delegates are required to attend all events listed on the schedule.
2.5. The Organiser reserves the right to amend or cancel events in the Conference
program at any time.
2.6. Delegates have to mention 2 choices for the Paris city tour by September 30th 2009
5:00pm (GMT+1). Places are allocated on a first come first basis.
3. Payment of Registration fee
3.1. Payment of the Registration fee is to be made online.
3.2. The registration fee of € 95 is to be submitted before July 31st 2009 5:00pm (GMT
+1).
3.3. Where payment is made online, it must be made through the Organiserʼs online
payment gateway. The online payment gateway is provided by a third party service
provider, Paypal France. The Organiser does not receive credit card information related to
a Delegateʼs registration.
3.4. Places at the Conference are limited and a place at the Conference is only
guaranteed and confirmed once the registration fee is received in full.
3.5. In exceptional cases, the Organiser may, at its sole discretion, allow for an extension
on the due date for payment, or offer an alternative method of payment. Such allowances
may only be provided by prior written arrangement.
3.6. The Registration fee provides Delegates with transportation from and to Paris,
accommodation from November 10th 2009 to November 15th (5 nights), all meals if not
mentioned otherwise, opening and closing ceremonies and social and touristic activities
that are specified in the schedule.
3.7. The Registration fee does not include travel costs to Paris or Visa or insurance costs.
4. Cancellations, refunds and Substitutions
4.1. Notice of cancellations to lehavre2009@modelasem.org received prior to 5:00pm (GMT
+1) on 15 August 2009 will be entitled to a full refund.
4.2. Notice of cancellations received on or after 5:00pm (GMT+1) on 15 August 2009 will
not be refunded.
5. Accommodation & Flight
5.1. Accommodation is organized and included in the participation fee from November
10th 2009 to November 15th (5 nights).
5.2. The organizers can arrange for a Youth Hostel in Paris prior to the conference on the
cost of the delegate. Delegates have to inform the Organizers by September 30th 2009
5:00pm (GMT+1).
5.3. The organizers are not arranging any Visa applications, however, students have to
specify if they require a Visa since the Organizers will contact the concerned embassies.
5.4. Delegates have to inform the Organizers about their Flight Details and arrival time by
September 30th 2009 5:00pm (GMT+1).
6. Expectations of behaviour and conduct
6.1. Delegates must ensure their behaviour adheres to all behavioural standards specified
by the Organiser (these standards will be made available online closer to the conference
date), showing respect to all fellow Delegates and acting in the spirit of the Conference.
6.2. Delegates agree to comply with all relevant regulations regarding smoking, alcohol
consumption and illicit substance use, as provided by French laws. Delegates under the
age of 18 are forbidden from consuming alcohol at any time during the Conference. The
Organiser takes no responsibility for the illegal consumption of alcohol at a Conference
event.
6.3. The Organiser reserves the right to expel any Delegate not complying with the
behavioural standards described in this clause 6. The Organiserʼs decision will be final.
6.4. Delegates are expected to take full responsibility for their own health and welfare
before, during and after the Conference.
7. Liability and indemnity
7.1. To the full extent allowed by law, the Delegate agrees not to hold the Organiser liable
for any sickness, injury, damage or loss , including consequential or indirect losses,
suffered or incurred by the Delegate related to the Conference, during the course of the
Conference, in the Delegate's place of accommodation through registering for the
Conference, attending the Conference, arranging accommodation, whether through the
Organiser or independently, due to alteration of the Conference schedule, or due to any
error or omission (including negligence) on the part of the Organiser.
7.2. The Delegate by accepting these terms and conditions hereby indemnifies the
Organiser and its members, officers, servants and agents against and hold it harmless
from all or any loss or damage, injury, actions, proceedings or claims arising from any act
or omission (including negligence) of the Organiser, its members, officers, servants,
agents and delegates related to the Conference, including the full period of the Delegate's
accommodation.
7.3. Delegates are responsible for taking appropriate insurance cover in connection with
their attendance at the Conference. Where the Delegate is travelling from outside of
France to attend the Conference, appropriate travel insurance should be purchased
independently and in advance of any travel.
8. Privacy
8.1. Any personal information provided as part of the conference registration process will
be managed in accordance with the Organiserʼs Statement of Privacy.
8.2 Delegates consent to the data practices described in the Organiserʼs Statement of
Privacy.
8.3 Delegates acknowledge that photographic and video material may be recorded of
them during the Conference and may be posted on the Model ASEM website, and other
internet sites such as Youtube and Facebook. By accepting these terms and conditions,
Delegates consent to the recording and use of such material for event profiling, marketing,
promotional and sponsorship purposes for the Conference and Mode ASEM conferences.
